Exporting Telephone Directory Data from MiVoice Business

Description

You can export telephone directory entries from the Telephone Directory form to a comma separated file (. csv): comma-delimited file that can be imported into a spreadsheet program. Use the Export functionality of the form as described in this document, or use the Scheduler to program Scheduled Exports.

Scheduled Exports

When using the Scheduler, select the versions of the Telephone Directory form that you want to export:

NOTE: For any Superkey Phonebook application, as well as for 5540 IP Console and MiVoice Business Console Phonebook applications, only entries with Include In Phonebook set to 'Yes' are used for TelDir lookups.

This exported file also includes the following additional information: UTF-8 characters in the First and Last Name (if applicable), user's e-mail address, and whether the entry is marked as the primary phone for the user.

This directory can be imported and used by MiVoice Business Consoles for their Phonebook lookups. See Phonebook Directory Export for details.

Requirements

You will need a text editor, word processor, or spreadsheet program (for example, Microsoft Excel) installed on your client station in order to manipulate the exported data.

Exporting Telephone Directory Data

  1. Go to the Telephone Directory form.

Click the first record that you want your selection to start with.

  1. Click Export.

  2. Choose the export range:

  3. Click All to export all the records in the upper information frame

  4. Click Selected Record to export the data for a single record from the lower frame.

  5. Click Current Page to export the records in the currently displayed page

  6. Click Pages and enter the page number or page range, for example 5-12.

  7. Click Next " N" records and enter the number of records (1 to 999) beginning from the currently selected record. This option is only available in forms that contain large lists, such as the Telephone Directory or Multiline IP Sets forms. The maximum number of records that you can export is 999.

  1. Choose file type Comma Delimited (Spreadsheet).

  2. Click Export.

    CAUTION: Depending on the amount and type of data being exported, there could be a significant delay before the Save As dialog box is displayed. While data is being retrieved from the system database, other users cannot access or use the Desktop Tool, the Group Administration Tool, or the System Administration Tool.

  1. After the File Download dialog box appears, click Save. Do not click Open. After the system retrieves the data, the Save As dialog box appears.

  2. Navigate to a folder on your computer drive or on a network drive.

  3. If desired, change the filename. By default, files are given filenames that use the following format:

Filename={Form Name (max 6 letters)}_{Switch Name (max 4 letters)}_{24-hour time followed by day and month ( HHMMDDMM)}

  1. Ensure that the file extension is set correctly to Text (comma delimited) (*. csv).

  2. Click Save.
